The Opportunity

Under the direct supervision of the Director of Academic Support Services, this position is responsible for providing academic support services to graduate students from their first semester of enrollment through graduation; advising them on policies, processes, and requirements related to academic services, academic progress, and degree completion such as registration, Graduate Plan of Study (GPS), administrative record changes, dissertation/thesis candidacy milestones, the annual review process, and the graduate petition appeal process. Assigned to serve a specific set of academic colleges and establish relationships with college partners.

Responsibilities:

  • Provides high-quality customer service. Coordinates with other offices including the Registrar's Office, the Office of Financial Assistance, and Student Accounts to update student records, resolve student issues, and communicates process and resolution to students, graduate programs, and colleges.

  • Evaluates and processes program of study form submissions/eForms, and makes appropriate exceptions to degree audits as requested by academic program & college staff when permitted by policy. Monitors and adjust academic standing as appropriate with program probation/dismissal recommendations and probation plans.

  • Evaluates and prepare petitions of graduate policy for use by the Graduate Appeals Committee by reviewing them, linking them to relevant graduate policies, and identifying and obtaining additional information the committee will need. Evaluates and process completion plans for students in their fifth year and beyond.

  • Manages the process for reviewing Thesis Advisory Committee forms and Doctoral Committee/Candidacy Status eForms. Ensures that the composition of each graduate committee adheres to the published policy and communicates with graduate program directors/staff when committees need to be revised. Documents the status of these forms in PeopleSoft and updates the system to reflect the composition of each committee. Facilitates the tracking of faculty committee activities.

  • Advises graduate students on administrative record change requests including late adds, late drops, late withdrawals, medical withdrawals, and special leave of absence, Manages the process for such requests and advises students on the appeals process when requests are denied. Maintains detailed records of student interactions.

  • Documents the status of these requests in PeopleSoft and communicates decisions to students. Prepares appeals submitted by graduate students and serves as an advocate for them when presenting their cases to the University's Admissions and Standards Committee.

  • Monitors records and enrollment eligibility, advise graduate students, and assists them with enrollment issues, as needed. Troubleshoots registration and term activation problems with graduate students, programs, and colleges, and resolves inconsistencies between student record data in myUCF and PeopleSoft.

  • Assists the Director in leading the academic progress area of the College, including updating transcript records, processing academic progress actions, status changes, probation, and dismissal of students at the end of each academic term. Reviews data and prepares semester/annual reports.

  • Assists in creating and updating training content on academic services, progress, and graduation processes for workshops and/or online delivery to faculty and Staff.

  • Assists in process improvement team projects and performs other related duties as assigned by the Director of Academic Support Services.

Minimum Qualifications:

Bachelor's or Master's degree and 0+ years of relevant experience.

Preferred Qualifications:

  • One year of student services experience at a higher education institution.

  • Experience using Microsoft Office and PeopleSoft.

  • Strong communication, organizational, and interpersonal skills.
