Summary:

Assist the Property Manager as needed by performing the following duties below. Prefer a bilingual person with previous experience with lease agreements and creating abstract.


Essential Duties and Responsibilities include the following:


  • Communication, organization, and team support is crucial in this position.

  • Must possess a professional phone voice/presence.

  • Must have strong accounting/book keeping skills, and know Yardi, MRI, Excel, and Word.

  • Prepare and process correspondence.

  • Responsible for sending out Tenant Certificate of insurance letters, monthly.

  • Maintain database for tenant insurance verification. Compare certificates to requirements in lease. Request updated information or certificates, as necessary.

  • Update and record certificates in Yardi/Impak.

  • Call insurance companies to request new certificates as needed.

  • Maintain all tenant lease files, including filing of correspondence and other information.

  • Develop and maintain; tenant rosters, vendor lists.

  • Make collection calls and send letters to delinquent tenants.

  • Take maintenance calls and enter into work order systems. Communicate with the manager reference action needed and then implement as necessary.

  • Coordinate tenant move-ins, including the distribution of information to the tenants, setting up a lease file, updating emergency information list to include new tenant, and ordering a welcome gift such as flowers or a cookie basket, when requested.

  • Review lease and prepare abstract for new and existing tenant leases as needed.

  • Assist the PM with any reporting requirements of the property owner, including compiling, assembling, supervision of the final product, copying, distributing, and mailing.

  • Coordinate special issues with PM, such as fire drills, special events, newsletters, tenant surveys, tenant memos or the like.

  • Gain knowledge of the tenants located in the building, their suite numbers, contact people, the nature of their business and their hours of operation.

  • Outside work related educational courses may be required (RPA, etc.)

  • Attend and complete required Safety training.

  • Other Duties as Assigned.
