Reporting to the Asset Manager, the Asset Coordinator will assist the team in maintaining clear and consistent communications with property management agents, data entry, upkeep of records, and assist with project tracking and assessment for the property assets within our portfolio (150 units of community integrated / small scale affordable housing at 97 locations). The Asset Coordinator must be highly organized and understand the importance of creating a strong file management system, and the role it plays in the efficiency of an organization.

·        Maintain clear and consistent communications with property management agents regarding:

o   Maintenance requests 

o   Resident concerns

o   Rent collections

o   Leasing (move-in/move-outs) 

o   Day-to-day procedural issues

·        Work closely with the Leadership team to draft HOPE asset management related items such as:

o   Policies and procedures

o   Renewals 

o   Check request/invoicing

·        HOPE asset management related data entry and upkeep, to include:

o   HOPE online drive

o   Property master list

o   Maintenance log

o   Reserve study 

o   Vendor log

o   Utility log

·        Program compliance/recertification data entry, tracking, assembly, and reporting; to include site visits documentation collection. 

·        Work collaboratively with the housing services and finance & accounting to report concerns, such as residents’ disputes and collections.   

·        Housing project tracking and assessment; to include site visits inspection meetings. 

·        Housing related call and email intake, assessment, and redistribution.




Requirements

KNOWLEDGE , SKILLS, ABILITIES

·        Proficient in MS Excel

·        Able to pick up new systems with ease

·        Able to deal with complex high-volume data

·        Attention to detail, quality driven approach

·        Excellent planning and organizational skills

EDUCATION & EXPERIENCE

·        1+ Years property management experience

·        1+ years of experience data management/systems

·        Bachelor's degree from an accredited college or university in accounting, finance, business or other related field

·        Possession of a valid California driver's license

·        Access to a personal vehicle to be used to conduct HOPE business

Ability to meet California minimum insurance requirements
