Responsibilities




Position Summary:


Under the general director of the Medical Director and the Director of Operations for Radiation Oncology, and with significant latitude for independent judgment the Practice Manager serves as the oversight for the clerical functions for the Strong Memorial Hospital regional sites: Strong Cancer Center, Batavia Cancer Center, Pluta Cancer Center, Webster Cancer Center and Noyes Cancer Center. The PM performs complex administrative duties in support of clinical and clerical programs, helps develop and maintain departmental administrative processes that achieve practice objectives, promotes a patient and family centered environment, and manages the human resources functions for clerical employees. The Practice Manager will maintain a positive work environment supporting the ICARE values by communicating in a respectful and professional manner with patients, coworkers and supervisors. + Requires a welcoming and professional attitude in dealing with a variety of people, in person and on the phone and the ability to handle interruptions and multiple tasks even under very difficult circumstances. Also, the position requires the ability to work with a diverse group of co-workers; physicians, nurse practitioners and other health care professionals. Will work independently as well as with others, representing Radiation Oncology in Administrative and Clinical meetings as needed to cover.


Responsibilities & Duties:


Human Resource Management and Supervision - 35%


  • Responsible for oversight of recruiting, hiring, orientation, training, development and evaluation and management of clerical staff for all SMH regional sites.

  • Develops and establishes procedures, career development opportunities and schedules to meet operational needs.

  • Conducts clerical staff meetings and fosters a collaborative team to improve efficient delivery of quality healthcare to patients.

  • Maintains referral work queues, monitoring staff compliance.

  • Assists with compliance issues as needed.

  • Writes procedural manuals, instructions and prepares materials for onboarding of new staff about the departments activities.

  • Oversee weekly data entry and review of payroll in electronic payroll system. Management and approval of staff requests for time off and overtime.

  • Answers correspondence and other inquiries involving the interpretation of University as well as departmental policy, regulations, procedures, and guides subordinates on replies to routine correspondence.

  • Process HR forms for clerical staff and monitor clerical Wage and Salary program, ensuring equity, and appropriateness of salary according to performance standards.


Administrative Operations Management - 30%


  • Develops and maintains policies, processes, and standardized workflows to optimize the administrative functioning of the practice, as well as auditing mechanisms to ensure implementation.

  • Reviews productivity and customer service expectations and sets goals for employees; continuously monitors performance, provides feedback, and implement corrections.

  • With direction from Director of Operations, evaluates and improves administrative functions to ensure maximal efficiency and value.

  • Ensures that clerical staffing and scheduling supports daily practice operations.

  • Helps to plan and lead the implementation of new clerical initiatives across regional sites.

  • Ensures compliance with SMH and URMFG policies & initiatives, as well as NYSDOH, Joint Commission, HIPAA, and other regulatory requirements. Monitoring the ambulartoy performance metrics dashboard.

  • Serves as liaison between faculty and Director of Operations to identify and resolve problems in real time.

  • Trains others in the use of specialized software used in the functional area.


Clinical Administrative Duties - 20%


  • Manages provider templates assuring that templates are correct in correlation to providers’ schedules including clinics, on-call, and time away.

  • Facilitates physician coverage at SMH and Regional Sites.

  • Maintains call-schedules and coverage data.

  • Ensures adequate physician coverage at all clinical sites to support staff and ensure patient safety.

  • Collaborates with nursing and radiation therapy leads to ensure clinical flow is uninterrupted and assists with problem solving as needed.


Other Administrative Duties – 15%


  • Attends appropriate URMC meetings and trainings.

  • Assists with coverage of administrative staff tasks as needed.

  • Assists in resolving patient complaints or questions related to billing.

  • Acts as department Gatekeeper to request authorized DRO employees and contractor’s ID card reader swipe access to department


Other duties as assigned.


Qualifications:


Education: Minimum of Associate’s degree in health care, business, or other relevant field. Bachelor’s degree in relevant degree preferred.


Experience: Minimum of three years of related administrative experience, including at least one year in a supervisory capacity. Multiple years of supervisory experience preferred.
